Key Responsibilities:

Contract Management: Maintain comprehensive audit files for each contract, ensuring all documentation (contracts, amendments, compliance records) is up-to-date.

Documentation & Reporting: Develop and manage Hard FM maintenance records, ensuring that compliance documentation is monitored and processed efficiently.

Audit Participation: Take part in internal and external compliance audits, preparing and submitting necessary documentation.

Collaboration: Work with both internal teams and clients to respond to inquiries and support compliance in administrative processes.

Corrective Actions: Track and report corrective actions, ensuring issues are effectively closed out and resolved.

Administration & Support: Provide general administrative support, including placing orders, updating the CAFM system (Maximo), and generating reports for management.

Maximo Superuser: Oversee compliance aspects within the Maximo CAFM system, providing training and support to the wider team.

Health & Safety Compliance: Ensure adherence to the company’s Health & Safety policies and procedures, maintaining safety standards across all activities.
Skills & Qualifications:
Essential:

Proven experience in compliance administration, ideally within Hard FM or a similar sector

Experience with CAFM systems, particularly Maximo

Strong attention to detail and organizational skills

Ability to produce and present clear and accurate reports

Knowledge of Health & Safety best practices

Helpdesk Adviser
Equans is looking for a Helpdesk Adviser to join our team at Queen Alexandra Hospital, Portsmouth on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
General Overview
To provide a customer focused Helpdesk Service, dealing with all client/customer requests, managing all complaints in a sensitive and efficient manner. Respond to all calls in a timely manner, ensuring appropriate actions are taken and records maintained.
What will you deliver?
- Receive and process customer telephone, email, and fax or internet requests to ensure the timely and effective completion of work, in accordance with the service level specification
- Participate in workplace inspections and risk assessments on regular basis
- Contribute to the business change programme as a result of direct experience in delivering the helpdesk service
- Ensure that the relevant information is accurately logged on FM Services database in accordance with Performance Management System (PMS) to enable the effective transfer of information to the appropriate department for action.
- Provide an administrative support service to the team (including distribution of mail; typing; filing; and dealing with telephone calls as necessary) to maximise efficiency and also to facilitate a good responsive customer service
- Regularly review logged calls on the database, to monitor progress, identify priority tasks and ensure timely completion
- Ensure information on completed and partially completed tasks is entered into the databases, maintaining accurately the current status of all tasks
- Responsible for passing on instructions to facilities staff, recording such action in response to calls, requests etc., and enabling staff to meet the performance targets of the contract

Technical Services Manager (Electrical)
EQUANS are looking for a Technical Services Manager to be based at Pinderfields and Pontefract Hospital in Wakefield. This role would be a permanent full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
General Overview:
This is a senior role on the contract, working across 2 large, geographically separated, acute hospital sites, with overall responsibility for the Electrical infrastructure, supplying patient life safety systems, critical care and general power throughout the estates. Reporting to the Engineering Manager, and responsible for the planned and reactive electrical maintenance teams of 16 direct employed staff. The Technical Services Manager (TSM) is a critical member of the contract senior leadership team, responsible for self-delivered and subcontracted mechanical, electrical, and building fabric technical service delivery. The role incorporates participation on the 24/7/365 on-call rota as part of the business escalation procedures.
The main responsibilities include the management of the maintenance teams, including specialist subcontractors to ensure the safe and continuous operation of the hospital. The TSM is responsible for coordinating site operations in compliance with company, contract and local operating procedures to ensure a standardised approach to the Equans service delivery including;
•setting the standards in the Electrical engineering discipline. Point of contact for Engineering escalations, and focal point between site operations and the central engineering support team
•all activities within the Technical Services team to meet and exceed the contracted service level agreements (SLAs) and key performance indicators (KPIs).
•establishing and maintaining effective business relationships with all key stakeholders, customers, partners, contractors and other third parties to deliver best practice services.
•compliance with all statutory requirements in relation to safe working practices and safe operation of plant, equipment and services and all activities essential to meet all relevant Health Technical Memoranda (HTM) and Quality Assurance requirements
•Responsible for the H&S of all Electrical Engineering works within the scope of contract. To act as the Focal Point Authorised Person, co-ordinating complex switching activities and shutdowns, managing subcontractors when required, on both High and Low Voltage systems. The management and review the site Health & Safety (H&S) Plan and associated Risk Assessments, alongside the SHEQ team, ensuring that obligations for H&S and any statutory requirements associated to the delivery of the contract are appropriately and fully applied.
•responsible for supporting the Account Director with the development of the annual Electrical Engineering budget and ensuring maintenance (planned & reactive) is carried out in line with budgetary and quality constraints and in line with agreed service levels and all relevant legislation.
Impact:
The objective of the department is to operate and maintain a physical environment in which healthcare can be delivered to the patient. The main elements being the maintenance of both building fabric and services e.g. external and internal finishes, fittings and fixtures, plumbing, electrical and mechanical services, piped medical gases etc.
The TSM will lead, direct and motivate the site Technical Services team to maximise their potential and contribution to best practice service delivery.
This is a critical role, managing an important concession, providing critical patient care services within a Healthcare environment.
The TSM represents Equans in all Technical matters and demonstrates sound decision making.
Complexity:
•Manages the site team and provides leadership and guidance to the technical services operatives and supervisors and drives performance improvements.
•Demonstrates excellent customer skills with an ability to exceed customers’ expectations and maintain an effective relationship / communication strategy for the contract
•Has detailed knowledge and understanding of the Contract Service Level Agreements (SLAs), opportunities and risks
•Gain a detailed, ‘hands on’ knowledge of the site and provision of services
•Ensure that appropriate monitoring of services is in line with Contract requirements and local agreements.
•Celebrates success and drives continuous improvement with the team, ensuring the local interface between other FM Service Teams, NHS staff, Project Co and Customers at all levels to deliver as one team
•Organises and manages the daily planned and reactive maintenance tasks using the Maximo CAFM system
•Controls and manages the ordering and replenishment of critical spares and consumable items required for the day to day delivery of the service.
•Assists with Minor Works and associated contract revenue streams
•Oversees and controls the raising of building defect and lifecycle issues to a satisfactory conclusion in conjunction with Project Co (Consort Healthcare)
•Ensures appropriate competent persons are trained and in place within the contract
•Actively monitors and controls the safe working practices of internal staff, subcontractors and suppliers
•Ensures adherence to all Statutory Standards and Regulations and Department of Health requirements (e.g. HTMs).
•Develops staff and ensures provision of mandatory and best practice training required to enable them to meet the requirements of their role.
•Oversight and management of contracts, agreements, and/or special conditions between the Engineering team and its vendors. Negotiate agreements. Assist in the development, coordination, and implementation of contracts, agreements and/or special conditions in support of the central Procurement team.
•Budgetary control for the systems and services under their scope. Line approval of purchase requests for planned and reactive maintenance activities.
•Assist with Lifecycle Planning Survey and delivers lifecycle asset changes as required.
•Assists with the production of the monthly report to the client and customer and provides accurate and punctual information in relation to planned and reactive maintenance, small works, damages, contract variations and lifecycle works.
•Develops effective working relationships with functions, business partners, suppliers and sub-contractors to improve site-based performance

Qualifications or Required Experience:
•Qualified to HNC/HND level in an engineering discipline, or equivalent, with a proven managerial track record for past 3/5 years.
•A technical background within an electrical bias, preferably having had significant exposure to a Healthcare environment.
•Holds or has held AP appointments for HV/LV Electrical Systems or be willing to obtain through professional development.
•City and Guilds 236 A&B or 2360 parts 1 and 2 or 2330 or equivalent apprenticeship
•City & Guilds 2394 / 2395 or 2391 Electrical Testing & Inspection
•Authorised Person experience in HV and/or LV Disciplines
•Relevant Trade Qualifications or Apprenticeship
•Understanding of Electrical Test and Inspection documentation
•18th edition training
•Must have (or be able to obtain) Disclosure Barring Service (DBS) clearance.

EQUANS is looking for a IT Service Desk Analyst to join our team based in Quorum Business Park on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £24,570, dependant upon skills and experience as well as benefits package.
The IT Service Desk Analyst is required to support the IT Service Desk Team Leader in providing an efficient, cost effective and customer focused IT Service Desk which provides a single point of contact for all users of IT through the logging and management of all incidents and service requests.
As a member of our Shared Services team, you will have the ability to work flexibly from our brand-new office space at the Quorum Business Park for 2 days each week, with 3 days at home. What will you deliver?
- Answer calls and respond to ITSM tickets within agreed KPI targets whilst adhering to quality monitoring guidelines.
- Provision of first line support, including but not limited to triage and appropriate troubleshooting, correct incident categorisation and resolution where possible.
- Retention of end-to-end ownership and working with EQUANS IT resolver groups and third parties where required.
- Communicate incident resolution or request fulfilment to the customer.
- Log all customer issues in the ITSM system accurately and in full detail, completing all administration within timescales and to a high level of accuracy.
- Adhere to effective ITSM queue management.
- Keep up to date with all changes in the EQUANS environment to facilitate understanding and diagnosis of user faults / requirements to ensure point of call resolution is achievable.
- Assessing the criticality of each situation by being proactive and asking for detailed information to help assess urgency and impact.
- Escalate to the relevant Team Leader/Senior Analyst for any high priority business-critical issues or complaints.
- Provide support and advice to employees and line managers, explaining IT related policies and procedures in a timely and effective manner.
- Ensure that priority setting, and escalation procedures are applied effectively and that all complaints are responsibly and professionally resolved.
- Provision of effective Incident Management, working closely with resolver groups to undertake effective Problem Management.
- Contributing to Information Security by assisting in the preservation of confidentiality, integrity and availability of information, including but not limited to adhering to and supporting Information Security standards, procedures and policies and identifying and raising security incidents as required to the Information Security Team.
- Support the successful transition of new services and systems into the IT Service Desk support model.
- Support audits (internal and external) by complying with requirements to security policies and GDPR.
- Create or amend documentation of new and existing IT Service Desk processes.
- Carry out any ad hoc tasks/duties which may reasonably be expected as requested by IT Management.
- Actively seek to improve and develop own skills and knowledge base in appropriate areas and stay abreast of new technologies.
- Actively recommend service improvements in process and technologies used by the EQUANS IT services to meet business objectives.
- An opportunity for periodic on call cover to provide first line support to the out of hours support contracts.

Who are we looking for?
- Qualification in the field of Information Technology and / or equivalent work experience.
- A good technical background with knowledge of common software packages and a broad understanding of IT Infrastructures.
- Knowledge of basic computer hardware.
- Experience of desktop operating systems, including Microsoft Windows 10, Microsoft Azure, Office 365 and a broad understanding of IT related permissions.
- Understanding of Networking configurations (LAN/WAN).
- Good knowledge of a leading IT Service Management Tool.
- Working knowledge of a range of diagnostic utilities.
- Knowledge of ITIL processes – particularly Incident Management, Problem Management and Request Fulfilment.
- Exceptional written and oral communication skills.
- Professional telephone manner with ability to remain calm under pressure and be able to express solutions and ideas to colleagues and users at all levels.
- Proven experience in a customer facing role.
- Ability to work well within a team environment.
- A good understanding of IT Service Desk challenges.
This role includes a Basic DBS check therefore ability to pass is essential.

M&E Supervisor
Equans is looking for an M&E Supervisor to join our team in Uxbridge, Middlesex working on our contract with Coca-Cola on a permanent basis. This is a full-time role working 40 hours per week. It is also expected that should a Shift Engineer be on leave or absent, the M&E Supervisor will cover those hours.
On offer is a salary up to £54,000 per annum, dependent upon skills and experience and benefits package. An Electrical bias candidate is preferred.
What will you deliver?
- Ensure that works are conducted in line with the EQUANS SSoW & Permit to Work system, ensuring adequate procedures and processes are in place
- Issuing of Authority to Work and conducting Contractor reviews
- Provide input into the management of the planned maintenance schedule, ensuring associated work tasks are completed in accordance with the agreed PPM planner, SLA and KPI targets, including first hand support (where required) for contract update meetings with the client
- Complete PPM and reactive works activities in accordance with contract requirements, and arrange for the site team to complete tasks in line with the company competency appointment(s)
- Prepare Authorisations to work (as per Permit System) and Supervise works carried out by specialist sub-contractors, reporting anomalies to the FM Manager/ SHEQ Manager
- Supervise contractors and EQUANS Engineers

Bij Equans is de afdeling Technical Inspections & Solutions (TIS) een van onze technologische speerpunten. We zijn op zoek naar een werkvoorbereider om ons team te versterken. - opstellen van een meerjarenplanning

Dit ga je doen als (Senior)Cost Engineer Werktuigbouwkunde
Als Cost Engineer werk je aan werktuigbouwkundige projecten in heel West Nederland. Op dit moment zijn de (petro) chemie, midden- en hoogspanning, food & beverage en de olie & gas onze belangrijkste marktgebieden. Binnen deze marktgebieden is de energie transitie de meest relevante topic.
Je werkt calculaties en begrotingen uit, eventueel met een stukje voorontwerp, voor zowel modificatie als nieuwbouwprojecten variërend van klein tot groot. Naast de ‘gewone’ bestekcalculaties denk je ook met de klant mee en wordt er soms van je verwacht zelf met een werk omschrijving te komen voor de klant om die vervolgens af te prijzen. Je werkt grotendeels vanuit onze vestiging in Zaandam, maar om een goed beeld te krijgen van wat onze klanten wensen en de optimale oplossing aan te kunnen bieden bezoek je ook regelmatig de verschillende klant- en projectlocaties. De projecten maak je van A tot Z mee, zo blijf je altijd betrokken bij “jouw” projecten. De nadruk in deze functie ligt op de calculatie. Je houdt rekening met verschillende factoren om tot de beste kostprijs te komen. Welke materialen zijn er nodig? Met welke onderaannemer(s) wordt er samengewerkt? En hoeveel uren moeten zij worden ingezet? Je werkt nauwkeurig en houdt rekening met de lessons learned vanuit eerdere projecten. Ook lever je input op het gebied van pre-engineering tijdens de tenderfase.
