Finance Administrator

EQUANS is looking for a Finance Administrator to join our team based at Tameside Hospital on a temporary basis (14 months). This is a full time role working 37.5 hours per week. On offer is a salary of £31,700 per annum, dependant upon skills and experience as well as benefits package. 

Reporting into the Performance Manager, provide administrative support, covering financial, purchasing functions and general support to the account management team as required.

 

What will you deliver? 

  • Ensure WIP, POEM and GRIR reports are maintained in line with finance policy and agreed targets dealing with any queries as required.
  • Ensure all supplier invoices are accurately and efficiently processed in accordance with relevant policies and procedures.
  • Process Purchase Card transactions ensuring data is accurate using MiVision commercial banking system.
  • Resolve invoice queries and deals with legal notices from suppliers as required, within appropriate timescales.
  • Liaise with finance and management teams to resolve queries.
  • Liaise with suppliers, Trust Representatives and sub-contractors, chasing outstanding works and invoices.
  • Raise Purchase Orders on Coupa system as required and in accordance with policies and procedures.
  • Receipt Purchase Orders efficiently to ensure supplier payment in line with terms of contract.
  • Responsible for generating the contracts monthly invoices for the client, including all material costs and sub contract costs.
  • Assist the contract with the production of monthly Payment Report.
  • Provide monthly timesheet information relating to overtime and staff agency costs.
  • Maintain Training Matrix for all staff ensuring all training is up to date, book training courses and communicate effectively with training provider, staff candidates and management team to ensure staff are released from duties with minimum disruption to service.
  • Input sickness absence on SAP system as required.
  • Ensure client PO’s and client invoicing is appropriately maintained.
  • Ensure all variable works are appropriately planned and completion dates agreed within prescribed parameters.
  • Generates and maintain all records/spreadsheets as appropriate. 
  • Establish excellent working relationship with clients, contract managers, sub-contractors and suppliers.
  • Provides administrative support to management team as required.
  • Assist with booking travel and accommodation as required.
  • Attend meetings, take, transcribe and distribute meeting minutes and notices as required.
  • Attend mandatory training and participate in e-Learning sessions.
  • Maintain safe work area and report accidents or near misses to the Performance Manager and incident reporting system.
  • Report any issues to the Performance Manager and make recommendations on improvements to the service.
  • Collaborate and co-operate with work colleagues, representatives and users of the service to deliver a customer focussed service.
  • Contribute to the goals and aims of the organisation.
  • Support the organisation’s commitment to a Zero Harm environment.
  • Filing and archiving duties as required for the Contract.
  • Attend training courses as required by the organisation.
  • Undertake any other ad hoc duties commensurate with grade.

Project Manager

Equans is looking for an Project Manager to join our team in Birmingham on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.

As part of the Project Management team, you will take full accountability for the delivery of Variations and Life Cycle projects across the PFI site. As part of this you will be expected to take manage the P&L and H&S for your projects from concept to completion with the support from the Lead PM and Head of Projects.

Your role will be fundamental to the efficient delivery of projects to both the SPV and Trust who you will build relationships with as part of your role. You will be expected to work well with the remainder of the team and support the wider Operational team to support the business in its Contractual delivery.

What will you deliver?

  • Full Profit & Loss responsibility for your delivered projects & life cycle works.
  • Build and sustain strong relationship with relevant stakeholders (Trust / SPV) at management level to ensure the continuation and growth of the pipeline for the foreseeable future.
  • Support the wider Project, Life cycle and operational teams to ensure all work is carried out on time & to budget.
  • Ensure on time delivery and margin optimisation is achieved for all projects.
  • Support all phases of the project, from initial request to close out, to meet all contractual requirements.
  • Support the Lead PM with processes and governance across the site which will make the Queen Elizabeth contract a Centre of Excellence across the business area.
  • Continually refining the project delivery model to ensure the right resources and approach is deployed and optimised for each project.
  • Make sure project risks are identified and managed through effective mitigation measures. Manage the implementation of designated projects. Ensure the project plan is maintained from inception to completion.
  • Monitoring and communicating project financial performance and administration to the Lead PM so that you can review targets against budget.
  • Oversee and support your team to co-ordinate operatives, suppliers in a planned and controlled manner ensuring efficiency and minimising costs.
  • Implement and comply with Equans policies and procedures, all legal requirements and best practice within Equans Group's including regular safety inspections within the allocated business area.
  • Detailed discussions with Trust staff and careful planning are required to ensure that works can proceed with the minimum of disruption to building users.
  • Ensure as necessary, all drawings, specifications and tender documents are prepared. Must adhere to requirements to be compliant with all statutory requirements including Health and safety.
  • Check and comment on designs and specifications provided by consultants for larger capital projects.
  • Monitor working procedures and performance of suppliers with particular regard to health and safety. Liaise closely with Technical Services, and Estates Maintenance Managers to assist with monitoring and performance measurement.
  • Responsible for undertaking work in any other building/property/location as required.

Who are we looking for?

  • Proven background in FM, maintenance delivery, and the PFI environment.
  • A strong Project Manager, who will have a proven track record working in Healthcare and delivering projects in a live environment.
  • Strong Commercial awareness will be needed to manage and flow Supplier Contracts downstream.
  • Ability to show understanding of Local Authority legislation, Planning Applications, Fire and Building Regulations Approvals.
  • Able to work with all stakeholders and operational staff, be self-motivating, able to work on own initiative, liaise and delegate effectively with staff operating in a multi-disciplinary environment.
  • A sound knowledge of building and engineering services design and associated British Standards
  • A sound knowledge of the Health and Safety at Work Act, the Construction Design and Management Regulations and other relevant statutory requirements will be required.
  • Able to demonstrate a sound understanding of technical and estates and building issues in the provision of construction, maintenance and FM services.
  • Financially aware and able to use Equans finance software (Coupa) to support the team in the delivery of projects.
  • HNC /HND or equivalent qualification in a building or engineering discipline
  • Good organizational skills and the ability to communicate at all levels.
  • Experience of Microsoft Office software essential, including Outlook, Word, Excel and Project.
  • Considerable experience operating in the public and/or private sector with a demonstrable track record of directly managing small works within a large and complex estate is essential.

Compliance Lead

EQUANS is looking for a Compliance Lead to join our team based at Queen Alexandra Hospital, Portsmouth on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary banding of £25,000 - £30,000 per annum, dependant upon skills and experience as well as benefits package. 

 

As a member of the Estates Technical Team, the Compliance Lead will assist the Technical and Compliance Manager and act as part of a team responsible for ensuring compliance with operational and contractual requirements. Responsible for owning and maintaining the estates technical records and roles and responsibilities matrix to ensure continued ownership of duty. To manage and develop the department’s internal audit programme and support the Estates department on matters of compliance for external audits. The post holder will perform the role as Quality Manager for the estates CAFM system and monitoring all statutory compliance thereof.

What will you deliver? 

  • Build and maintain an effective and supportive working relationship with members of the team and colleagues within Equans Hard and Soft services, Portsmouth Hospital NHS Trust and The Hospital Company (THC).
  • Work as part of the Estates management team, providing a high-quality service.
  • Priorities enquiries and interpret a range of options for action or referral to the technical team or more senior management.
  • Ensure all outstanding actions are managed appropriately, with remedial actions logged, annotated and closed to maintain statutory compliance.
  • Assist the Training Co-ordinator in the delivery of the departments statutory and mandatory training.
  • Assist in the preparation of documentation for Audits / safety critical meetings.
  • Any other relevant tasks as directed by the Technical and Compliance Manager.

Maintenance Assistant

Equans is looking for 4x Maintenance Assistants to join our team in Blackburn at the Royal Blackburn Teaching Hospital on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

General Overview
The post holder will have the required maintenance skills to ensure the safe and continuous operation of the site. Working within the response team and reporting to the Mechanical Supervisor and Mechanical Manager.
• To undertake a proactive role in carrying out maintenance, repairs and inspection of building services, fabric, fixtures and fittings. All in accordance with relevant standards and operational procedures and in compliance with legislation and guidance.
• The hours for this role will be 40 hour week.
• Represent Equans in a respectful and professional manner.
• Carry out planned preventative maintenance (PPM) on building services in accordance with the PPM programme and personal competence and training.
• Respond in a timely manner to ad-hoc breakdown requests as identified by the help desk / supervisor / manager or as a minimum, as per site contract.
• Assist in Carrying out installation work involved in minor upgrading and adaptation works.
• Assist in Carrying out systematic fault finding in a logical and safe manner on malfunctioning equipment.
• Carry out duties in accordance with safe working practices within statutory and Company guidelines.
• Safely operate all types of access equipment, hand and power tools in accordance with health & safety, manufacturers’ guidelines and relevant training.
• Ensure the correct use of personal protective equipment and adherence to health & safety and infection control procedures.
• Maintain records as and when appropriate and as required, whether written or electronic.
• Willingness to assist and work flexibly with other colleagues and or contractor’s staff
• Ensure liaison with Wards and Departments as required, ensuring there is minimum disruption whilst carrying out work.
• Undertake training where necessary to learn and maintain skills and to maintain and develop the requirements of the service.

• Collaborate and co-operate with the partners and colleagues to deliver a customer focused service.

The Maintenance Response Operative makes up part of the facilities maintenance team which contributes to the effective and efficient operation of the estate and associated engineering systems that is conducive for the delivery of healthcare.

Complexity:
The Maintenance Assistant will complete engineering and maintenance activities and undertake duties for which they are trained and competent to do. There is an Estates management team based on site that can offer specialised technical advice and who can liaise with the appropriate levels of management to facilitate specialist isolations necessary to undertake certain engineering works.

Qualifications or Required Experience:
• Previously worked within a general maintenance environment.
• Previously worked within a customer facing role
• Previously worked within a healthcare environment (desirable)
• Have experience of computer-based task monitoring systems (CAFM) (desirable)
• Worked on Mechanical Systems, DHW, LPHW, CHW (desirable)

Equans x Energietransitie

Als technisch dienstverlener kennen wij de bedrijfs- en productieprocessen van onze klanten - van ziekenhuizen tot fabrieken en kantoren - heel goed. Deze kennis combineren we met multi-technologische oplossingen om de energie- en digitale transitie bij onze klanten te versnellen. Binnen de energietransitie focussen we op impactvolle thema's zoals elektrificatie, netcongestie en co2 reductie om klanten te helpen hun organisatie futureproof te maken. Als Marketing Lead rapporteer je aan de Directeur Marketing & Communicatie van Equans Nederland en zet je Equans bij de juiste klanten op de kaart voor de energietransitie. Je bent verantwoordelijk voor het volledige marketingpalet van een aantal strategische thema's gerelateerd aan de energietransitie en werkt nauw samen met specialisten in het marketingteam (o.a. content, PR en Digital Performance). Daarnaast werk je nauw samen met ons interne netwerk van energieconsultants en heb je een actieve rol in het MT dat dit bedrijfsonderdeel aanstuurt.

Wij zijn op zoek naar een beheertechnicus binnen onze afdeling Services! Krijg jij energie van het uitvoeren van werkzaamheden aan gebouw gebonden installaties en het beheren van deze installaties? Dit ga je doen als beheertechnicus

Als beheertechnicus bij Equans voer je werkzaamheden uit aan gebouw gebonden installaties bij onder andere kantoren, gemeenten, productiebedrijven en zorginstellingen. Je krijgt opdracht om het geplande onderhoud uit te voeren of om  een storing aan deze installaties op te lossen. Daarmee zorg jij er meteen voor dat de nieuwe en bestaande installaties voldoen aan de geldende wettelijke bepalingen en kwaliteitsnormen. Daarnaast ben je ook veel aan het organiseren en beheren. Je hebt veelvuldig contact met de klant. Binnen de kortste keren weet jij de juiste wegen te bewandelen om je werkzaamheden zo efficiënt mogelijk uit te voeren.

  • het zelfstandig uitvoeren van diverse service- en beheerwerkzaamheden binnen verschillende disciplines van de elektro- en installatietechniek
