We are seeking a highly motivated and detail-oriented Project Coordinator to join our project management team in Nivelles in the newly created Carbon Shift organization.

In this role you support the Project Manager in all administrative supporting tasks to achieve the project execution within time and budget. This role requires excellent communication skills, an ability to manage multiple tasks, and a commitment to delivering high-quality results.

You collaborate with cross-functional teams, monitor project progress, and make sure all supporting activities are performed within contractual commitments (progress reports, invoicing and payments, purchasing follow up,…). In addition, you would also help business developers in the preparation of commercial offers and fulfilling tender documentation.

Zoom on your key responsibilities:

  • assist the Project Manager in all phases of project planning and execution, from inception to completion
  • coordinate and communicate with project stakeholders, team members, and contractors to ensure that all parties are aligned with project goals and commitments
  • maintain and update project schedules, tracking project progress and adjusting timelines as needed
  • prepare project documentation, including reports, proposals, presentations, and status updates
  • support in managing project budgets, track expenditures, and report variances to ensure cost control
  • assist in identifying project risks and developing risk mitigation plans
  • ensure all project tasks and deliverables are compliant with our internal company quality standards and processes, client expectations, and regulatory requirements
  • participate in regular project meetings, taking detailed notes, distributing meeting minutes, and following up on action items
  • monitor and report on project milestones, deliverables, and deadlines
  • provide general administrative support to the project management team, such as organizing files, maintaining records, and managing correspondence

 

What do you need to excel in this function?

  • bachelor’s degree in business, engineering or a related field. PMP certification or equivalent is a plus
  • 1-3 years of experience in a project management or assistant project management role
  • experience in the renewable energy sector is an advantage
  • proficiency in project management software tools (MS Projects)
  • strong problem-solving abilities with attention to detail and accuracy
  • ability to manage multiple tasks and deadlines effectively, with strong time-management skills
  • demonstrated ability to work in a collaborative environment and contribute to a team
  • ability to adjust to changing priorities, project requirements, and timelines
  • excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels in French and Dutch, English is a plus
