Equans is looking for an Administrator to join our team based at Calderdale Royal Hospital on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

The role of Administration Assistant is essential to the successful delivery of the Estates services for Equans based at Calderdale Royal Hospital. By providing full support to the Contract by assisting with procedures both electronically and manually to include helpdesk, procurement, secretarial and document control for procedures as detailed.

Assigning and dispatching tasks to various resources via multiple channels.

Administration Assistant support with all operational functions, including PPM, reactive and audit tasks, to ensure jobs are completed in the contracted timescales, by pro-actively monitoring and chasing work orders to completion, within the required SLA’s.

This will include working very closely with the operations team to ensure the timely and successful close out of all reactive, planned maintenance and audit tasks on our CAFM system (MAXIMO)

The successful candidate will assist with both internal and external audits to ensure compliance in statutory, non-statutory and contractual requirements.

What will you deliver?

  • General administration duties assisting with help desk requests, answering telephone calls, action as appropriate including taking messages, dealing with queries. 
  • Conduct help desk monitoring in a polite manner, meeting and greeting visitors on arrival to the office, directing them to relevant Managers as required.
  • Assist with secretarial support for the provision of documents where required, to include updating spread sheets, typing memos, meeting minutes and reports in an efficient and effective manner.
  • Assist in maintaining electronic and manual administration systems, providing support to the administrative team.
  • Assist with the upkeep of a paper-based records management system. 
  • Be prepared to undertake training where necessary to learn other skills to maintain and develop the requirements of the service.
  • Undertake other duties commensurate with the job role as directed.
  • Be fully conversant and compliant with all processes which support the delivery of estate services ensuring compliance with contractual KPI targets.
  • Develop and maintain effective working relationships at all levels with both internal and external customers.
  • Adhere to all company policies including but not limited to, code of conduct, data protection and confidentiality.
  • Enthusiastic and pro-active with ideas both during meetings and in general, with the aim of enhancing the overall administrative and helpdesk experience for our customers.

Who are you?

  • Business Administration Level 3 (preferred but not essential).
  • Computer literate with good IT skills.
  • Experience of a similar previous role would be desirable but not essential.
  • Good people skills with the ability to deal with customers and colleagues is essential.
  • Experience with Microsoft packages (Outlook, Word, Excel, and PowerPoint) essential.
  • Previous experience of procurement systems would be desirable but not essential.
  • Good Customer Service Skills.
  • Excellent telephone manner.
  • Good time keeping and willingness to learn in a fast-paced environment.

This role includes a Standard DBS check therefore ability to pass is essential.
