EQUANS is looking for a Administrator to join our team in Warrington on a permanent basis. This is a full time role working Monday to Friday. On offer is a competitive salary,  and benefits package. 

The post holder is accountable for delivery and administration of Reactive and PM Works and follow-on services for Warrington Borough Council, Public Buildings.

The post holder will be required to deal with various challenges, including but not limited to reactive works and preventative maintenance. The post holder will be required to deal with any issues that arise within their capabilities and be astute to the appropriate point to escalate these. Typically, the post holder will be required to work closely with the Contract Manager and Technical Service Manager.

The post holder will be required to understand the contract KPI’s and associated contract specifications to ensure delivery to customer expectations.

 

What will you deliver? 

The role consists of, but is not limited to, the following key activities:

  • First point of contact for client reporting urgent works orders and requesting updates.
  • Responsible for the day to day issuing and monitoring of responsive works orders in line with contract requirements.
  • Responsible for the planning and issuing of PM works
  • Identification of additional works.
  • Monitor joint inbox and respond to chase ups and queries where required, escalating as necessary to Contract Manager/Technical Service Manager.
  • Issue Purchase orders to sub-contractors and operatives as required in line with policies and procedures.
  • Ensure all supplier invoices are accurately and efficiently processed in accordance with relevant policies and procedures.
  • Support the Contract Manager and Technical Service Manager in updating any documentation received following completion of responsive, corrective or PM works orders and closing orders down accordingly.
  • Monitor Assignment Manager to ensure operatives work is being completed/reissued where required.
  • Submit quotations for follow on works via approvals process.
  • Monitor approvals for follow on works and issuing where appropriate.
  • Identifying issues and pro-actively offering solutions to improve performance & include implementation.
  • Assisting other team members where required to ensure compliance is achieved.

Who are we looking for? 

 

Qualifications/Experience:

  • Good Level of interpersonal skills
  • Good verbal and written communication skills
  • Proficient in using Microsoft Outlook, Word and Excel
  • Experience of supporting operational teams
  • Experience of planning, organising and prioritising workload, whilst maintaining high levels of accuracy
  • Ability to develop effective relations with key stakeholders including senior management, customers, staff teams and clients
  • Ensure all aspects of maintenance and repairs are planned, dispatched and billed in accordance with strict KPIs/SLAs and in a safe working environment.
  • Provide timely support to maintain the highest standard of statutory compliance. Ensure compliance with all legislative requirements in accordance with the Equans Environmental Health & Safety policy, quality, sustainability and energy efficiency related standards
  • Build strong professional relationships with other groups within Engineering Services and the wider Equans account to ensure a common approach is adopted in support of operational delivery and work in collaboration with Equans nominated management.
  • You will be proactive about preventative maintenance and corrective works whilst using the highest level of customer focus
