Administration & Finance Assistant

EQUANS is looking for an Administration & Finance Assistant to join our team on our HMRC contract based in Westminster working full-time on site. This is a permanent role working 40 hours per week from 08:00 to 17:00, Monday to Friday with a one hour unpaid break. On offer is a competitive salary and benefits package.

General Overview

A role has become available on a prestigious government facilities management PFI contract for a Admin/Finance Assistant.

The role is reporting into the Service Delivery Manager, primarily providing admin/finance support to the operations team.

The successful candidate will be required to have proven previous experience of administration and finance, preferably with experience in a facilities management environment.

What will you deliver?

Managing the contractor log and arranging contractor reviews.
Review monthly WIP reports and liaise with the Operations team to resolve any queries.
Facilitating the writing of contracts,
Managing the security clearance process and issuing applications for vetting,
Preparing invoices and follow up for payment,
Liaising with the financial business partner to resolve any invoicing issues.
Raising purchase orders,
Assist with payroll preparation,
Provide administrative support.

Who are you?

Have previous experience of working within an admin/finance role ideally in the FM sector.
Possess excellent communication skills.
Have the ability to prioritise and organise a fast moving workload.
Have a logical approach to working.
Ability to act on own initiative.
Currently have Government Issued CTC clearance / be able to gain CTC clearance if not currently possessed.

Who are we looking for?

Previous experience within a Control Room, Service Desk or other high call volume environment or experience of working within a customer focused environment.
Maths and English GCSE Grade C and above

General Overview

Equans is looking for a Contract Administrator to join our team on our Birmingham schools contract at Coleshill, Birmingham, B46 1JU on a 3 month fixed-term contract. This is a full-time position working 37.5 hours per week, from 08:00 to 16:00, Monday to Friday with a 30 minute unpaid break. On offer is a competitive salary and benefits package.

General Overview

Monitoring performance and identifying potential risks before they become critical issues.
Investigating operational problems and determining root causes.
Coordinating with managers, contractors, and stakeholders to implement corrective actions.
Tracking and reporting jeopardy cases through to resolution.
Escalating high-risk issues to senior management when required.
Ensuring contractual obligations, KPIs, and service levels are achieved.
Producing performance reports and recommending process improvements.

What will you deliver?

Schedule and monitor RW using CAFM systems (e.g. Maximo, Concept, Planon)
Ensure all planned works are logged, tracked, and completed within required timeframes
Liaise with contractors to confirm ETAs, completion dates, and service reports
Maintain accurate records of completed works and outstanding actions
Generate monthly reports on PPM performance and compliance levels
Track and manage statutory inspections (e.g. fire safety, gas, water hygiene, lifts)
Ensure all certificates, RAMS, and service documentation are up-to-date and stored correctly
Support internal and external audits by preparing evidence packs and responding to queries
Monitor compliance KPIs and escalate risks or gaps to management
Assist in implementing corrective actions following audit findings

Mobile Water Treatment Technician

Equans is looking for a Mobile Water Treatment Technician (Tier 3) to join our team in The South of England. The ideal location to be based will be able to cover from Reading down to Hampshire, into London and the South East. This is a permanent, full-time role, working 40 hours per week. What will you deliver?

Representing EQUANS Water Compliance as a Tier 3 Water Treatment Technician/Engineer to execute the self-delivery of all Water hygiene/treatment services across the South and the South East of the UK
Tasks will include but not limited to; Temperature Monitoring, Showerhead Descales, Cold Water Storage Tank Inspections & Cleans, Cooling Tower Clean & Disinfections, TMV Servicing, Water Sampling, LTHW Systems Testing & Analysis, Dosing of Inhibitor & Biocide, Cooling System Testing & Analysis, Steam Boiler Testing & Analysis, Water Softener Servicing
Dosing of Chemicals (Inhibitor and Biocide) into closed systems using dosing pot method or injection
Cooling System Onsite Technical Testing and Analysis. The ability to interpret results and make suitable recommendations
Plumbing Remedial Works, to include but not limited to: Deadleg removal, TMV Replacements or Installations including pipework modifications, Point of Use Water Heater Replacements, Flexible Hose Replacement or Hard piping, Expansion Vessel Installations or Rotations, Internal Calorifier Inspections, Cold Water Storage Tanks Remedials

Who are we looking for?

Relevant qualifications and/or experience dependant on role
Legionella Awareness Training including extensive Knowledge of Regulations/Byelaws, L8 ACOP, HSG274 and any other relevant guidance
Extensive Knowledge of Water Hygiene and Water Treatment service delivery requirements based on Table 2.1 HSG274 Part 2 and Appendix 3.1 HSG274 Part 3
At least 3 year’s experience in water hygiene/treatment
City and Guilds or NVQ Level 2 equivalent qualification relevant to Plumbing, Heating (Closed Loops) or Chemistry
Up to date knowledge of technical regulations including Water Supply (Water Fittings) Regulations 1999
TMV Servicing experience (Servicing and Testing Requirements of Thermostatic Mixing Valves (TMV) (WH018) trained is preferable)
Water Sampling experience including understanding of different sample suites and bottle types
Clean & Disinfection experience (Disinfection of Hot and Cold Water Systems (WH005) and Inspection, Cleaning & Disinfection of Evaporative Cooling Systems - W258 trained preferable)
Closed Loop testing and dosing experience (Water Treatment Chemistry Foundation W252 training and Practical Monitoring & Control of Water Quality in Closed Systems - W276 preferable)
Cooling Towers testing and water treatment (WMSoc Training Courses - Evaporative Cooling Water Chemistry Foundation - W255 and WMSoc Training Courses - Evaporative Cooling Water Chemistry Advanced - W256 preferable)
Steam Boilers (WMSoc Training Courses - Steam Boiler Operation, Water Treatment & Chemistry - W260 trained preferable)
Valid driving licence

This role includes a DBS Enhanced with Barred Lists therefore ability to pass is essential.
