Equans is looking for a Facilities & Office Services Team Lead  to join our team based in Quorum Business Park on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

You’ll be based at our brand new, super modern Shared Services office in Newcastle, which is a dynamic multifunctional operation, where our people are committed to delivering great services that enable our business to meet its goals.

As the initial “face” of Equans Business Services in the Neon office location, this role will oversee the day-to-day administrative activities and tasks to facilitate smooth running of the office facility, which includes, but is not limited to, ensuring the office is fully compliant with all facilities management requirements within a tenanted building, supervising staff as required, organising information and special projects and resources to deliver a safe and welcoming office environment for Equans staff and guests to work from. 

What will you deliver? 

  • Function as the point of contact for all activities pertaining to running an office.
  • Organise day-to-day office operations.
  • Respond to customer enquiries and complaints.
  • Manage/set up meeting rooms for visitors, as required.
  • Ensure cleaning contractors meet all requirements.
  • Deliver an efficient and effective service for staff and visitors, providing excellent customer/employee/visitor experience.
  • Ensure all relevant facilities within the remit of the offices are well-maintained and can stand up to internal & external audits.
  • Develop and implement administrative systems/processes (i.e., visitor management system, record management, management of post facilities, and manage 3rd party contracts/service providers).
  • Track office expenditures/manage office budget and work closely with line manager &  EBS finance business partner.
  • Ensure all statutory and/or planned maintenance is up to date ; arrange any repairs/remedial works in prompt order.
  • Ensure service providers and contractors meet all requirements, including following Equans safety requirements.

Who are we looking for? 

  • People management/leadership experience.
  • Experience in an office/facilities management role, including the provision of management information (reports).
  • Knowledge/experience to manage/work with contractors.
  • Managing Health and Safety within an office environment.
  • Operational planning.
  • Supporting multiple stakeholders.
  • Willingness for additional training as required (i.e., fire warden, CPR).
  • Good working knowledge of the MS Office suite.
  • Ability to prioritise work and work under pressure
  • Excellent organisation and time management.
  • Experience working with and engaging contractors to support HVAC, lighting, and other office facility management needs.
  • Excellent interpersonal, oral, and written communication; the ability to work with all levels of staff across the wider organisation.
  • Confidence to lead and motivate others.
  • Attention to detail.

This role includes a Basic DBS check therefore ability to pass is essential.
