Summary
We are seeking a highly organized and detail-oriented Facility Coordinator to support the day-to-day operations of our pharmaceutical facility. This role will ensure that our facility remains safe, compliant, and well-maintained, providing a high-quality work environment for our employees. The Facility Coordinator will play a crucial role in managing maintenance and cleaning activities in both GMP and Non GMP spaces, coordinating vendor services, overseeing safety protocols, and supporting various facility-related needs.
Responsibilities
Key Responsibilities:
Facility Maintenance & Operations:
- Coordinate routine and preventive maintenance for equipment, HVAC systems, lab facilities, and production areas to ensure minimal downtime.
- Conduct regular inspections of the facility to identify potential safety and maintenance issues.
- Manage repairs and replacements as needed, working closely with external vendors and internal maintenance teams.
Vendor & Contractor Management
- Serve as the primary point of contact for facility-related vendors, including janitorial, pest control, waste management, and other service providers.
- Schedule and oversee contractor work, ensuring adherence to safety and regulatory standards.
- Track and evaluate vendor performance, addressing any issues that may impact facility operations.
Health, Safety, and Regulatory Compliance
- Support the implementation and adherence to health and safety policies in accordance with OSHA, GMP, and other regulatory standards.
- Conduct regular audits to ensure facility compliance with environmental, safety, and operational standards.
- Coordinate emergency response drills, safety trainings, and other activities to enhance employee awareness and preparedness.
Inventory & Supply Management
- Monitor inventory levels of critical facility supplies, including PPE, cleaning products, and other essential items.
- Place orders for supplies as needed to maintain stock, working within budgetary guidelines.
Space Planning and Optimization
- Assist with space planning and allocation, ensuring efficient use of workspace and alignment with departmental needs.
- Coordinate moves, equipment installation, and workstation setups as required.
Administrative Support
- Maintain accurate records of facility maintenance, inspections, and regulatory compliance activities.
- Prepare reports on facility performance metrics and operational expenses.
- Assist in budget planning and cost control initiatives for facility-related expenses.
Requirements / Qualifications
- Is authorized to work in the US;
- Is qualified to pass a security screening and medical examination;
- Bachelor’s degree in Facilities Management, Business Administration, or related field preferred;
- 2-3 years of experience in facility coordination, preferably in a pharmaceutical, biotech, or regulated environment;
- Strong understanding of GMP, OSHA, and other relevant regulatory guidelines;
- Excellent organizational and communication skills, with the ability to prioritize tasks effectively;
- Proficiency with Microsoft Office Suite; familiarity with facility management software is a plus;
- Ability to lift and carry equipment or supplies up to 25 pounds.
