Equans is looking for an HR Administration Manager to join our team in on a 24 month FTC basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.

The HR Administration Manager is accountable for the delivery of effective administration of the following processes (Hire to retire, employee vetting, employee data management and occupational health) by driving continuous improvement initiatives, through innovation and best practice to deliver quality, compliant procedures.

The role is responsible for leading a team of 21, supporting the EQUANS UK Business Unit key stakeholders to deliver strategic and operational people initiatives that maximise the performance of the Business.

The role reports into the Head of Employee Services, and is one of the three key leaders in Employee Services.

This role will deputise for the Head of Employee Services where applicable due to availability or business demand.


What will you deliver?

  • Support the delivery of the UK Business Unit strategy and vision and related payroll projects.
  • Responsible for the delivery of a great employee experience through HR Administration services to agreed SLA’s & KPI’s relating to current legislation and internal policies.
  • Ensure adequate process controls and segregation of duties are in place, to support Cybersecurity, Ethics and GDPR.
  • Address process failures with stakeholders and business leads, identifying root cause to ensure appropriate action plans are in place and followed.
  • Identify opportunities for process improvement liaising productively with HR & Central IT teams.
  • Ensure all process documentation/desktop procedures are up to date and understood by team members.
  • Handle escalations through to resolution.
  • Provide expert guidance on HR processes, legislation, and compliance requirements.
  • Work with Senior Payroll Manager to simplify and improve processes across Employee Services to ensure quality, compliant procedures that improve the employee experience.
  • Coordinate the annual salary review system updates ensuring timely and accurate delivery to employees.
  • Support contract mobilisations and demobilisations to ensure effective, accurate timely transition
  • Create a culture that promotes high levels of employee engagement through inspiring leadership, driving continuous improvement and customer focus.
  • Support monthly contractual changes ~280 new starters; ~252  leavers and ~300 contract amendments with 30 different T&Cs.

Who are we looking for?

  • Understanding of employment legislation relating to HR Admin procedures.
  • Process improvement methodologies such as Lean and Six Sigma
  • The ability to influence and build effective relationships at all levels.
  • Advanced knowledge and experience of Microsoft Office e.g., Word, Excel, PowerPoint
  • Knowledge of SAP/ SuccessFactors
  • Accountable for the delivery of HR Administration Services to approx. 11,000 employees across the Equans UK & Ireland.
  • Ability to deliver agreed SLA’s & KPI’s
  • Strong/effective leadership skills
  • Presentation skills (in-person and via Teams)
  • Excellent change and project management.
  • Support monthly contractual changes ~280 new starters; ~252  leavers and ~300 contract amendments with 30 different T&Cs.
  • The ability to utilise data insights to identify and drive strategic goals.
  • Able to coach and manage 2 direct reports and 19 indirect HR Administrators.
  • Experience in the implementation of policy changes/business initiatives, for the onboarding and off boarding of business contracts adhering to TUPE regulations, Data Management processes in core HR systems and managing Occupational Health services to employees via third party provider.
