Equans is looking for a Business Support Administrator to work within our facilities team on our blue light FM contracts based in Central London at our head office in Bank on a permanent basis. This is a full-time role working 40 hours per week from 08:00 to 17:00 with a one hour unpaid lunch break. Please note this role will be mostly home based with site visits across London/the South/South West/Midlands as required.  On offer is a competitive salary and benefits package.

The role supports financial and contract administration activities within Sustainable FM CSW region. It is a key role, assisting with the Key admin functions support and performance of the Blue light contracts, ensuring contracts have the adequate support and finance assistance to deliver Customer satisfaction.

What will you deliver?

  • Assist teams in improving and maintaining optimum approach to finance-based administrative functions (WIP, billing, receipting, purchase order compliance etc)
  • Sub-contractor administration, invoicing and raising of purchase orders
  • Production and processing of invoices for PPM, reactive, fixed, quoted and extra works
  • Ensure audit trails are maintained 
  • Creation and provision of reports as required eg WIP, Debt. 
  • Other administrative tasks associated with role e.g. filing, correspondence, updating of records, timesheet entry
  • Day to day administration of finance systems including oversight of task allocation.
  • Produce Power BI report as required which demonstrates performance across the Blue light region
  • Engage with contracts to ensure correct processes are being followed in a timely manner.
  • Awareness of and adherence to contract-specific billing requirements
  • Work closely with other support functions (Commercial, Procurement and Finance) within the CSW region

Who are we looking for?

  • Ability to work closely with stakeholders to identify where cover and support is required, develop best practices, analyse current processes to identify opportunities for improvement.
  • Process-oriented individual with experience of delivering efficient and robust administrative procedures.
  • Ability and confidence to challenge senior stakeholders where required.
  • Ability to methodically review and ensure financial performance across the contracts is maintained while liaising with Suppliers to ensure compliance
  • Excellent communication skills.
  • Ability to liaise with administrative staff and develop relationships to ensure support is available across contracts 
  • Proficient in use of Power BI, Excel, SAP, Sharepoint and various other software systems.
