Equans NZ Limited are looking for a coordinator who is experienced in management of all compliance related tasks to join our Fire & Mechanical divisions.

  • Manage all compliance administration and maintenance scheduling.
  • Utilise your service delivery skillset & knowledge of BWoF & 12a processes.

About the role:

  • You will be an integral link in the delivery of routine and non-routine maintenance services to customers.
  • In response to customer requirement, schedule and coordinate trade personnel, ensuring appropriate specified systems are maintained in line with the requirements of the compliance schedule.
  • Develop workload plans and schedule service deliveries through forecasting call requirements.
  • Manage all inbound phone calls and queries with a high level of customer service.
  • Use the Pronto Xi system to raise purchase orders and produce invoices.
  • Provide support to the Managers and the business units with administrative and clerical support.
  • Develop and maintain office filing and manage the database systems.
  • Assist with the creation and preparation of correspondence, documents, reports, presentations and/or publications.
  • Liaise with certified IQPs to have compliance documentation signed off before expiry.
  • Work closely with the Fire Division Manager and ensure customers and Council are kept informed of any issues affecting completion 12a’s and Building Warrants of Fitness.
  • Provide general data analysis and cleansing of existing accounts with your Excel expertise.
  • Escalate any concerns or issues regarding processes, deployment of technicians and client responses.
  • Prepare reports confirming the relevant work deployment performance metrics.
  • Process local contract invoicing as per contract terms and conditions.

About you:

  • You will have knowledge of Building Warrants of Fitness and the 12a processes.
  • Experience with the Pronto Xi is highly desirable but we are willing to train.
  • Intermediate Microsoft Office skills is necessary.
  • You must have excellent written and verbal communication skills.
  • You will have a proven aptitude for managing competing priorities with successful deliverables.
  • The ability to maintain high standards of customer service in a fast-paced administration role is necessary.
  • You will have superior organisational skills and attention to detail.
  • Previous call centre experience in a service delivery environment is preferred.
