Equans is looking for an Administration Supervisor to join our team based at the Royal Infirmary of Edinburgh on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.

You will be an integral member of the site’s Business Support Team, managing the Administration and Reception team delivering all Office Services. To manage the delivery of a professional and efficient administrative support to the site in line with the organisation’s goals and values. You must establish and maintain strong relationships with the operational teams and adopt and highlight a collaborative approach to resolving issues.

You will be responsible for supervising administrative staff and reception to facilitate smooth organisational workflows. Overseeing and managing daily operations to ensure a productive, safe, and efficient workplace. 

What will you deliver?

  • Oversee Health and Safety Compliance.
  • Support HR Administration and onboarding.
  • Supervise administrative staff.
  • Manage internal communications and office culture.
  • Team development & training of administrative staff.
  • Set Team Goals and expectations.
  • Collate weekly/monthly site reports.
  • General Administration duties.
  • Organise minute taking and support operational meetings.

Who are you?

  • Leadership: Strong ability to supervise, motivate, and guide team members.
  • Organisation: Excellent capability to multitask, prioritise tasks, and manage time efficiently.
  • Communication: Strong interpersonal and verbal/written skills to interact with staff and management.
  • Computer literate with knowledge of Microsoft word, Excel and Outlook.
  • Problem-Solving: Ability to resolve conflicts, handle complaints, and address operational issues efficiently. 
  • Experience within a Healthcare environment is advantageous.
  • Previous experience in administrative or supervisory roles is generally expected.

This role includes a DS PVG check therefore ability to pass is essential.
