Summary
Manage and enhance the FM delivery’s reputation on each contract, ensuring services are delivered across sites and coordinating their work to provide exemplary service to customers in line with the requirements of the Services Contract.
Ensure contractual performance in accordance with agreed budgets and compliance with Key Performance Indicators, whilst continually enforcing cost efficiencies, maximizing value received, and minimizing overdue debt. Maintain productive and trusting relationships with clients and departments
Scope of duties & responsibilities
- Assists in the development, monitoring, and updating of a preventive maintenance program and planned services schedule in conjunction with in-house staff and subcontractors.
- Assists in the review of production, quality control, maintenance reports, and statistics to plan and modify operation and maintenance activities
- Assist with the planning, development, and implementation of new methods and procedures designed to improve operations, minimize operating costs, and effect greater utilization of labour and materials
- Confers with management, engineering, and quality control personnel to resolve maintenance problems and recommend measures to improve operations and conditions of systems and equipment.
- Assists in the planning and implementation of a regular daily, weekly, monthly, and yearly schedule of preventative maintenance activities to ensure the plant and equipment are safe and in good working order;
- Manage all relevant sub-contracts, ensuring that regular meetings are conducted to measure performance and that all H&S, Q&E, and administration are closely monitored.
- As an integral member of the site leadership team, participates in decision-making, particularly in matters related to staff and health and safety
- Assists with the performance of regular property inspections of common areas, building interior, and site exterior
- Displays willingness to make decisions; Exhibits sound and accurate judgment; Supports and explains reasoning for decisions; Includes appropriate people in the decision-making process; Makes timely decisions.
- Develops and manages operating budgets and controls expenditures
- Assists with the monitoring of the condition of the physical plant and provides information on long-range plans and financial requirements to address capital renewal and deferred maintenance
- Actively participates in the review and preparation of design standards for use in all existing and new buildings and grounds work.
- Ensures the effective performance and continual improvement of the Asset Management, Quality Assurance & Maintenance Inspection, and Preventive Maintenance programs, and that these systems are advanced to capture all facilities
- Demonstrates accuracy and thoroughness; Looks for ways to improve and promote quality; Applies feedback to improve performance; Monitors own work to ensure quality.
- Keeps up-to-date with changes and new concepts in the fields of applied sciences, maintenance and operations, and related areas through attendance at courses, seminars, conferences, and other professional activities
- Makes decisions regarding short-term and long-range financial and personnel resources and the allocation and management of these resources
- Ensure the delivery of services in accordance with business systems, such as H&S, quality assurance, environmental management system, financial systems, administration, and policies
- Effectively manage all HR related issues for stafff ensuring close liaison with the HR Manager to ensure that all issues are dealt with in accordance with company procedures and timescales. I.e. Sickness, Disciplinary, Appraisals, and Recruitment
- Develop a succession plan for both Soft and Hard FM services and assist the Senior Management in the overall contract succession plan, ensuring effective business continuity planning and out-of-hours coverage for all services provided under the contract agreement.
- Update operational procedures to maintain system efficiency and to reflect changes in codes and regulations.
- Oversee the installation, maintenance, and repair of real estate infrastructures, including machinery, equipment, and electrical and mechanical systems
- Ensure the availability of supplies and critical parts for the maintenance of system equipment and cleaning services.
- Prepare routine and special system operation reports for customers and management, including, but not limited to, the PMR, Energy, and ASP
- Plan, organize, and direct administrative services such as pest treatment, cleaning, maintenance, parking, safety inspections, security, and snow removal
- Develop and maintain a schedule of work hours for staff based on either the CBA or operational needs.
- Provide input relating to employee performance and recommend career development
- Oversee and update, as required, an Asset Register and Planned Preventive Maintenance (PPM) work tasks.
- Oversee the commissioning of systems during the “hand over” process of Minor Works and Changes.
- Assist with overseeing the Energy Management System for the site
- Comply with Company Policies, Procedures, and QA requirements and ensure a safe and healthy working environment within the post-holder’s span of control
- Fulfill Health & Safety responsibilities by adherence to the requirements of the Company’s Health & Safety Policy and Health & Safety Management Plans.
- Support the Company’s Quality Policy Statement and actively participate in the achievement of Company and personal Quality objectives
- Undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department / Service. Which includes participation in out-of-hours management on the call team as part of the contract business continuity plan
Requirements / Qualifications
- Authorized to work in Canada
- Ability to pass all background checks and security clearance.
- Minimum five years of experience and knowledge as a manager in a facilities management environment or similar role, with experience in managing and producing reports in a professional, accurate, and compliant manner.
- Fosters long-term learning and development of others through coaching, managing performance, and mentoring; has a genuine desire to develop others and help them succeed; formally and informally recognizes deserving staff and colleagues.
- Excellent organizational, communication, and leadership skills with the ability to gel a maintenance team together in a professional manner
- Excellent verbal and written communication skills.
- Team player committed to working in a quality environment.
- Excellent working knowledge of Health and Safety requirements to lead by example.
- Previous experience working with a CMMS, preferably Maximo.
- Proven excellent Reporting skills, preferably within a P3 environment or experience working within large public organizations.

Pay range: $70,000 – $80,000
