Role overview

This role exists within Equans to provide essential support to the Service Delivery and Digital Operations Centre Teams, ensuring all service lines are delivered efficiently, on time and ensuring adherence to budget targets. As a Service Coordinator, you will manage documentation, reporting, quoting and governance processes associated to contracts, extensions and billable work. You will assist with financial tasks such as invoicing and budget tracking as well as coordinating our teams efficiently in our workforce planning tools.

Key activities

  • Maintaining accurate service records and documentation.
  • Maintaining accurate CAFM data to EQUANS and contract data requirements.
  • Supporting governance processes to ensure adherence to standards.
  • Facilitating communication between stakeholders, SLT and operational teams.
  • Assisting with financial administration, including invoice processing, budget tracking, and supporting cost reporting to ensure service remains financially compliant.
  • Contributing to timely reporting and decision-making through accurate data and financial insights
  • Managing of stock/parts and critical spares, including routine stock checks and managing logistics of sales.
  • Booking travel and accommodation for operational staff in accordance with company policy and budget.

Skills, qualifications & experience

  • Minimum: A-levels or equivalent (including relevant work experience at this level)
  • Preferred: Diploma or degree in Business Administration, Finance, Operations, or related field
  • Previous experience in an administrative role, preferably within a Facilities or BMS/Digital Contract
  • Familiarity with operational efficiency models (e.g., SixSigma) is advantageous
  • Experience supporting finance processes such as invoicing and budget tracking
  • Experience with Coupa and SAP
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint)
  • Experience of CAFM/CRM (e.g. Planon, Maximo, Salesforce etc
  • Experience with operational management tools (e.g., SharePoint, MSProject, Miro/Visio)
  • Strong data management and reporting skills
