Job Summary

The Parking Administrator is responsible for Supporting the effective operation of the Parking department and Facility Management through administrative coordination, policy application, data management, and stakeholder communication, while ensuring financial accuracy, compliance with contractual requirements, and timely processing of POs and invoices.

Responsibilities 

  • Provide management oversight for the Parking department through independent decision-making, consistent judgment, proper handling of confidential information, and maintaining policy enforcement while delivering exceptional customer service.
  • Assist in regulating the parking service by maximizing available parking spaces and ensuring all activities comply with the Parking Guide, Parking Contract, and applicable financial and operational procedures
  • Maintain and update departmental records by generating required reports, conducting periodic audits, and compiling statistical and financial information to ensure all parking and finance data remains accurate and up to date.
  • Utilize strong technical skills to adapt to evolving record-management systems, financial software, and digital tools, ensuring the department remains current with technological and process improvements.
  • Respond to telephone, email, and in-person inquiries by applying parking and financial policies appropriately, resolving conflicts related to parking requests, enforcement issues, invoices, and payment discrepancies
  • Update permit holder information—including license plates, account status changes, and cancellations—while managing and issuing permits through the app
  • Manage the parking wait list and respond to related inquiries by advising when spaces become available, guiding new parkers through registration, and confirming eligibility with the Business Centre or appropriate employer
  • Maintain and foster positive relations with tenants and parkers by communicating departmental objectives, addressing concerns, and promoting a clear understanding of parking operations.
  • Coordinate the towing of vehicles in violation of parking rules and report parking meter failures or visitor-lot violations to ensure safe and compliant parking operations.
  • Act as a professional point of liaison on behalf of Bouygues Energies & Services by handling telephone and in-person inquiries promptly, courteously, and in alignment with departmental expectations.
  • Provide full administrative support to FM management by drafting correspondence and reports, maintaining organized filing systems, and ensuring financial and operational documents are easily accessible.
  • Develop and maintain departmental manuals, operational plans, policies, and procedures to support consistent and compliant administrative and financial practices.
  • Assist the facility management team in managing subcontractors by administering paperwork, tracking documentation, and ensuring all records remain accurate, auditable, and aligned with contract requirements
  • Coordinate subcontractor activities by verifying invoices, following up on outstanding payments, and ensuring all financial workflows meet company standards and timelines.
  • Coordinate and organize meetings in an effective and timely manner by preparing agendas, supporting documents, and follow-up materials as required.
  • Perform general office administration duties such as maintaining supply inventories, placing supply orders, organizing departmental materials, and distributing mail to support smooth office operations.
  • Receive, process, and track Purchase Orders by monitoring approval workflows, communicating updates to requestors, and ensuring all PO documentation complies with internal financial procedures
  • Research and resolve invoice-related issues by reviewing email records, financial systems, and AP requests, ensuring discrepancies are addressed and payments are processed accurately
  • Support the Company’s Quality Policy Statement and actively participate in the achievement of Company and personal Quality objectives.

Requirements / Qualifications

  • Authorized to work in Canada.
  • Resides in Canada for 5 or more years
  • Education in administration or business is required;
  • Minimum of two (2) years’ experience with a strong data entry experience and progressive administrative support experience supporting managers with busy schedules and multiple
  • Finance/Accounting degree, supplemented with administrative courses
  • Ability to obtain and retain RCMP ERS or higher clearance and maintain confidentiality.
  • Strong customer service, organization, and communication skills and the ability to frequently handle and safeguard confidential information.
  • Ability to manage priorities effectively, multi-task while maintaining strong attention to detail, handle regular interruptions and still meet deadlines.
  • Ability to keep accurate records and manage the timely delivery of reports.
  • Strong public relations skills including conflict resolution and independent decision-making
  • Ability to effectively communicate with difficult customers while maintaining composure.
  • Be proactive and have a flexible attitude to work undertaken and hours worked with good time management skills.
  • Must be reliable, conscientious and able to work independently as well as in a team environment.
  • Strong computer skills using MS software (eg Word, Excel, Outlook, Visio, PowerPoint, Access, MS Project ).
  • Ability to type 55+ words per minute, with a high level of accuracy. Comfortable using hotkeys to limit keystrokes and prioritize efficiency.
  • High attention to detail and accuracy in composing documents, correspondence, and reviewing reports before submission to leadership.
  • Proactive attitude in continuing learning skills and methodologies. Looking to grow with the company.
