Equans is looking for an Assistant Soft Services Manager to join the team on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, bonus and benefits package.
The post holder can be based anywhere in the UK, with national travel required. The role also offers hybrid working with an expectation to be on site 2 days per week.
Reporting to the Soft Services Manager, the Assistant Soft Services Manager will support the consistent, safe and effective delivery of soft services across the HMCTS contract. The role will help regional and site teams achieve contractual service levels, maintain quality standards and deliver a positive customer experience.
The post holder will provide practical operational support, monitor service and supplier performance, coordinate improvement actions and help ensure that cleaning, waste, grounds maintenance and associated services are delivered in line with contract requirements, EQUANS procedures and client expectations. There will also be an element of supporting contractual objectives in relation to corporate social responsibility.
The post holder will play an important role in supporting Regional Management and site teams to deliver reliable, compliant and efficient soft services across the estate. Working with operational teams, suppliers and client stakeholders, the role will monitor performance, support timely resolution of service issues and contribute to continuous improvement.
What will you deliver?
- Support the management and performance monitoring of soft services across the HMCTS estate, including self-delivered and subcontracted activities in the following areas:
- Reactive Cleaning
- Integral Barrier Mats
- External Window Cleaning
- Internal Window Cleaning
- Pest Control
- Gutter Cleaning
- Snow and Ice Clearance
- Grounds Maintenance Services
- Tree Maintenance and Surgery
- Waste Services
- Support the Soft Services Manager with the day-to-day coordination of soft services across the contract
- Monitor service performance against agreed KPIs, SLAs, specifications and service delivery plans, escalating significant risks and recurring issues appropriately
- Undertake routine audits, inspections and quality checks of self-delivered and subcontracted services
- Work with regional and site teams to resolve service delivery issues, agree corrective actions and monitor actions through to completion
- Support subcontractor performance reviews, including evidence checks, action tracking and constructive challenge
- Support consistent cleaning standards by maintaining cleaning task cards, specifications, schedules and operating guidance
- Support the effective use of Ezi-Tracker, including monitoring exceptions and working with Facilities Supervisors to improve compliance

Who are we looking for?
- Experience in soft services, facilities management, cleaning operations or a comparable multi-site service environment
- Practical understanding of cleaning methods, quality standards, service auditing and performance improvement
- Experience of working with operational teams, service providers or subcontractors
- Good commercial awareness, including the ability to monitor costs, consumables and service performance
- Strong written and verbal communication skills, with the ability to produce clear reports and communicate professionally with stakeholders
- Good organisational skills and the ability to prioritise competing demands, complete actions and meet deadlines
- Competence in Microsoft Office applications and confidence using operational reporting or contract management systems
- Understanding of health and safety responsibilities in a facilities management or service delivery environment
- Flexible approach and willingness to travel nationally when required
