Project Administrator
Equans is looking for a Project Administrator to join the team in Burnley on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
This is an onsite role, based at Alert House, Burnley.
Reporting into the Project Manager provide a professional, effective and customer focussed administration support, covering general administration duties, finance, purchasing and general support to the Projects Team as required.
What will you deliver?
- Assist Project Managers with administrative and financial functions relating to Lifecycle and Variations Project Management, supporting them to ensure all Projects are managed, operated and completed with uncompromised efficiency, on time and to budget
- Support the Project Managers to follow the Company and on-site process ensuring all relevant documentation is prepared/completed including the provision and calculation of costs, tenders submissions programmes, risk analysis, PPP works documentation etc
- Ensure all Project files are maintained to provide a fully auditable administrative trail in line with ISO accreditation and CDM regulations
- Remain customer focused at all times. Deliver value for money and ensure the agreed profit percentage is made on all Projects
- Provide management information as required to support decision making
- Ensure finance reports are maintained in line with finance policy and agreed targets dealing with any queries as required
- Responsible for generating the contracts monthly invoices for the client, including all material costs and subcontract costs
- Support the updating of trackers and Sharepoint including quality control
- Work closely with the Technical Team to produce Lifecycle Requests as directed and complete all necessary administrative functions associated with this
- Assist in the production of annual Lifecycle plans
- Liaise and coordinate with Equans colleagues, sub-contractors, and Soft Services Partners such that FM services are seen as a seamless service delivery
- Take delivery of all maintenance and operational manuals on hand over of the works from subcontractors carrying out Minor and lifecycle works
- Updating of Asset Lists and Area Data Sheets
- Assist the Variations and Lifecycle Manager in producing holiday works schedules
- Assist Project managers with carrying out Project review meetings in line with Project Management good practice

Who are we looking for?
- GCSEs in English & Maths (ideally A-C) or NVQ Level 2 in relevant subject
- Previous experience working in a similar role
- Great communication skills
- Proficient knowledge of Microsoft Office Applications including Excel and Word
- Working knowledge of Coupa, SAP, BI Launchpad, Maximo (desirable)
- Ability to work effectively as part of a team and on own initiative with minimum supervision

Head of Technical
Equans is looking for a Head of Technical to join the team at Manchester Joint Hospital on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.
We are looking to recruit a Head of Technical (HoT) role within one of our critical healthcare accounts. Having overall responsibility for the Technical compliance of the account and reporting to the Account Director, the HoT will be responsible for leading on the technical disciplines that relate to Building infrastructure, Mechanical & Electrical systems associated with Manchester Joint Hospital PFI contract.
The ideal candidate will have an electrical bias, previous healthcare experience, commercial awareness, previous experience with lifecycle and asset management.
Reporting into the Account Director, the head of technical will have 3 direct reports and be the technical lead on site.
What will you deliver?
- Proactively liaising with third party suppliers and the site leadership team to identify assets that might need replacement, with then responsibility for the creation of the Programme of Scheduled Maintenance (Lifecycle Plan) that aligns with the Trusts Clinical & Estates Strategy
- Supporting a culture of responsive monitoring, by working closely with third party suppliers
- To implement effective control measures to ensure asset run-time is maximised, through the proactive monitoring of Sodexo’s PPM regime and the associated maintenance records
- To monitor third party PPM regime and maintenance strategy, ensuring assets are maintained in line with HTM’s, HBN’s, O&M guidance, manufacturers guidelines or BS Standards
- Develop Employers Requirements for lifecycle schemes, ensuring they comply with the relevant Regulations, BS standards and HTM/HBNs associated with the replacement lifecycle programme and any reactive lifecycle replacements
- To work with the respective Project Manager and wider team in validating and approving practical elements of the lifecycle scheme proposals, including technical assessment and liaising with sub-contractors and service partners in respect of technical solutions
- Implementing a robust handover process for any party that has completed asset replacement works where the asset will be incorporated within the lifecycle model, and ensuring all schemes are fully handed over to third party for ongoing maintenance
- To ensure a fit for purpose and robust Critical Spares Lift is available, and that spares are available
- Maximising the decarbonisation opportunities when developing lifecycle schemes, and ensuring commercial opportunities are secured through such schemes
- To review and report on completed works which have taken place under lifecycle which may have been undertaken either by Equans or Sodexo, this will be to confirm that all works met the relevant fire standards, water standards, original building standards or amended to the latest standards, unless a derogation is in place
- Responsibility for attending all Trust and EQUANS Central Technical Safety Meetings and forums
- Responsibility for the production and submission of all Technical Safety reports that are reviewed at Trust Technical Safety forums and EQUANS Central forums
- Acting as the focal point and conduit for the account for all EQUANS Central Technical & Assurance team communications and initiatives

Small Works Manager
Equans is looking for a Small Works Manager to join the team at Manchester Joint Hospital on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.
The candidate will be responsible for scoping, specifying, planning, procuring and the operational delivery of all Lifecycle requirements at the site; becoming the principle lead in delivering both minor works & major refurbishment projects. The candidate will gain a detailed knowledge of the contract portfolio and commercial objectives, to identify all requirements and ensure all outcomes meet the contract Output Specification. Reporting to the Regional Account Director, the candidate will control the day-to-day budget forecasting & expenditure, ensuring works are delivered on time and on budget.
What will you deliver?
- Create all required tender specifications for required refurbishment works at site – encompassing building fabric, fixtures, fittings and furniture
- Engage with the supply chain and the hospital to identify products & finishes that meet both contractual obligations and client expectations
- Liaise with the local maintenance teams to identify failure trends and unforeseen lifecycle requirements
- Oversee the administration of Lifecycle budgets, forecasts, expenditure and purchasing through the Coupa procurement system
- Plan / Schedule all works and requirements, ensuring all scheduled activities are agreed with the University and other stakeholders
- Continually review all possible routes to delivery of works, ensuring best value and maximum budget reach for EQUANS
- Work with the central procurement teams to identify suitable suppliers of products, materials and works packages as necessary, inclusive of inducting new suppliers to the site
- Liaise with the SHEQ support teams to ensure compliance with all Health & Safety and Statutory obligations for all Lifecycle activities, including direct & main contractor led workstreams
- Recognise opportunities for self-delivery of larger works packages; project managing multiple trades in delivering projects where a main contractor has not been appointed
- Take a direct role in site managing subcontractors delivering works on behalf of EQUANS

Operations Manager
Equans is looking for an Operations Manager to join the team in Burnley on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.
This is an onsite role, based at Alert House, Burnley.
Reporting to the Account Director, be responsible for day-to-day management of commercial and contractual compliance of FM services at Blackburn and Lancashire schools. To ensure that all services are provided consistently to the required standard and that they meet the specific requirements of the FM Contract and Authority Requirements.
The post holder will be responsible for minimising performance deductions by delivering the hard and soft services element of the contract effectively and by responding in a timely manner to all relevant issues in accordance with the requirements of the Project Agreement. To develop effective processes and procedures within the department and demonstrate an observable commitment to Behavioural Safety and embracing a Safety-First culture.
What will you deliver?
- Take responsibility for leading the on-site senior management team, delivering to agreed service levels within agreed budgets
- Deliver the business strategy in the service area and achieve service objectives and profit while maintaining a high level of Customer satisfaction
- Provide leadership and guidance to the team to increase performance thorough consistency and innovation
- Responsible for all FM operations including hard and soft services
- Responsible for all aspects of Technical compliance including planned and reactive tasks
- Manage the onsite technical team including management of sickness, absence and holidays and involvement in appraisals and performance management
- Produce monthly reports and ensure minimum service and unavailability deductions on all projects
- Ensure full compliance with relevant policies and procedures, codes of practice, statutory requirements and ensure professional standards are maintained
- Develop and implement a dynamic planned preventative maintenance system to meet the changing requirements of the service and demands on plant and equipment
- Act as Technical Adviser to the Maintenance Team and relevant groups within the Company regarding management and operation of the engineering services, including the development and maintenance of contingency plans
- Ensure risk assessments and method statements are in place as deemed necessary for both hard and soft services
- Ensure CAFM System is up to date at all times and ensure all reactive and PPM tasks are completed within project agreements
- Control the management of expenditure and income as delegated by the Account Director to meet agreed budgets and to maximise efficiencies whilst achieving the required quality standards
- Deliver a pro-active subcontractor management strategy ensuring successful delivery of services into the contract, in a cost effective and timely manner
- Ensure all staff are trained and aware of their health and safety responsibilities in accordance with statutory policy and procedures
- Take responsibility for all aspects of Water Safety
- Take responsibility for all aspects of Fire Safety and the annual review of Fire Risk Assessments across the portfolio
- Attendance / assistance at end user / client meetings, ensuring all actions from end user client meetings are delivered
- Agree objectives and targets for accountable staff, ensuring that priority is given to their achievement.
- Contribute to the creation of a dynamic team to achieve delivery of the key objectives. This includes rigorously assessing performance, mentoring, developing, recruiting, replacing and otherwise strengthening the team
- Carry out regular audits across all services to ensure services are being maintained to agreed standards and performance, including ISO & OHSAS standards

The candidate will be responsible for performance management and reporting for all aspects of the MJH Lifecycle Account, including PMO, Health & Safety, Sustainability, Technical Compliance, Finance, HR and Procurement, to produce measurable, continuous improvement to the performance of the account. A key responsibility will also be to develop and implement transformation programmes to deliver business improvements.

- Form part of the on-site senior management team, delivering to agreed service levels within agreed budgets

- Responsible for day-to-day monitoring of performance and operational reporting to understand and analyse contract performance. Co-ordinating with the site based PMO and technical resources

Account Director
Equans is looking for an Account Director to join the team at Manchester Joint Hospital on a permanent basis. This is a full-time role working 40 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.
We are looking for an experience Account Director within the FM industry to provider leadership across all elements of the Manchester Joint Hospitals Contract with a strong focus on Project Delivery, commercial matters and client relationship management.
Reporting to the Business Unit Director, the Account Director will be the senior lead for communicating and delivering the strategic direction across the contract.
The successful candidate will be expected to work closely with Business Unit Director, the Lifecycle team, the SHEQ team, the local and regional projects delivery team and other supporting teams to deliver the lifecycle and variations works across the contract.
The Account Director will be responsible for the quality of services and the business plan on an ongoing basis and will ensure that we reach optimal service delivery and deliver continuous improvement throughout the life of the contract. You will attend the Strategic Partnering Board on a quarterly basis and the Operational Delivery Board meetings monthly as well as providing a regular senior management presence in support of his/her management team.
What will you deliver?
- Leading on all commercial and financial negotiations with the Trust in line with the company Delegated Levels of Authority (DLA)
- Develop challenging but achievable budgets for the operations including profit improvement plans for the project
- Ensuring financial and operational compliance in line with annual budgets set
- Working as part of the Senior Leadership Team responsible for developing an efficient organizational structure, strategy setting, client relationship building, business development and project management
- To lead, direct and motivate the EQUANS team to enable contribution to the best of their ability and maximize their potential

Training Coordinator
Equans is looking for a Learning and Development Coordinator to join our team in Hatfield. This is a 12 month maternity cover working full-time. On offer is a competitive salary, and benefits package.
Responsible for supporting the L&D team, ensuring the efficient booking of courses and allocation of trainers are undertaken, aligned to the training matrix and KPI’s. Take ownership of regional contracts to ensure the training targets are achieved, liaising with internal and external stakeholders across all levels.
Managing and collating financial and performance data aligned to the regional training function, alongside the development and management of reports on a regular basis.
What will you deliver?
- Management of diaries for the internal trainers
- Management of in-house booking system
- Assisting with the allocation of rooms

- Contacting delegates for courses
- Ensure stock levels of training material and equipment are adequate for the purpose
